Access to PeopleSoft Financials

08/01/2008 Questions about which access to request? You may find it beneficial to check out this link: http://www1.umn.edu/datasec/security/ARF_word.htm. The Web site introduces the standard ARF document and a host of other 'supplemental requests' that could/should be completed and attached based on your role. Included is a form titled 'PS Distributed Activities' and this may answer some questions relative to folks being (or not being) able to receive POs and such.


07/15/2008 clarification: Do I need to fill out an ARF if I was on the original March training registration list sent in by my cluster director?

We will be separating the system access process from the March registration list at the end of July. If you were on the original March registration list and you haven't completed your required assessment(s) by July 31, you will need to complete an ARF. After July 31, regardless of whether or not a person was on the original March registration list, if they haven't completed their assessment(s), they will need to do the assessment(s) and ARF.

From 07/08/2008 Issue: Why am I unable to gain access to the Enterprise Financial System?

Follow these steps to ensure system access before contacting the Financial Helpline (or 1-HELP):

1) Verify your own training record online at http://hrss.umn.edu and follow the link titled Training Registration/History. Access is granted based upon your completed assessment(s), so verify that the assessment has been recorded. Access is granted based on assessments completed, not classes taken. If your training record does not reflect the financial system assessments you completed, contact Training Services at trngsvcs@umn.edu or 612-626-1373.

2) AND, confirm with your supervisor or cluster director that the appropriate Access Request Form (ARF) has been completed for your specific assessments.

Note: Assessments alone do not grant access to the system. Completion of assessments as well as a signed ARF grants access. Once your training assessments are completed and the signed ARF received, watch your email for notification that your Financials PeopleSoft access has been granted. EFS Security will be monitoring assessments daily for a limited time and will grant access accordingly.

Not all assessments provide access to system pages. The assessments for a number of classes, such as Basic Accounting, Basic Accounting II, Chart of Accounts, and Asset Management do not provide security access.

The ARF and its accompanying attachments are available from the OIT Data Security Web site: http://www1.umn.edu/datasec/security/Requestingaccess.html.

3) Make sure you are logging into PeopleSoft Financials and not HRMS or the Student System. Go to the Staff One Stop page: http://onestop.umn.edu/onestop/staff.html
Look at the far right side area called "Quick Links" and click on the "PeopleSoft EFS Access" link.

The M Key login for the PeopleSoft page should appear. Log in using your Internet ID, M Key code and PIN and it will take you to PS Financials.
