Access Request Form (ARF) updated (2/23/09)
New versions of the ARF and attachments have been published. Please download an updated copy of the form each time you request access. Doing so will help avoid unnecessary delays in processing your request. These new forms are designed to collect the data required to setup requested access. Current versions of the forms are stored on the Data Security Web site: http://www.umn.edu/datasec.
OIT Data Security will no longer accept outdated versions, previously submitted ARFs, or attachments that have been altered to request additional access or changes.
When requesting additional access please indicate the new access or change(s) to be made, there is no need to re-check the access you already have.
If requesting "clustered" duties, please indicate whether this is "new" access for the group or if the access is to replace another staff member leaving/giving up the access.
Return to top of pageHow do I get access to the Enterprise Financial System? (8/25/08)
1) Verify your own training record online at http://hrss.umn.edu and follow the link titled Training Registration/History. Access is granted based upon your completed assessment(s), so verify that the assessment has been recorded. Access is granted based on assessments completed, not classes taken. If your training record does not reflect the financial system assessments you completed, contact Training Services at trngsvcs@umn.edu or 612-626-1373.
2) Confirm with your supervisor or cluster director that the appropriate Access Request Form (ARF) has been completed for your specific assessments.
Note: Assessments alone do not grant access to the system. Completion of assessments as well as a signed ARF also does not grant access to the system. There must be a busines justification for the access, and there cannot be a conflict of duties for the individual (for example, one individual cannot currently hold Voucher preparation access and also be a Procurement Specialist).
Once your training assessments are completed, the signed ARF received, the request is reviewed and approved centrally as needed, watch your email for notification that your PeopleSoft Financials access has been granted.

3) Make sure you are logging into PeopleSoft Financials and not HRMS or the Student System. Go to the Staff One Stop page: http://onestop.umn.edu/onestop/staff.html
Look for the "PeopleSoft EFS Access" link.
The M Key login for the PeopleSoft page should appear. Log in using your Internet ID, M Key code and PIN and it will take you to PS Financials.

Off campus locations and some coordinate campus locations need Virtual Private Network (VPN) software running in order to access PeopleSoft Financials 8.9.
That's a question for your supervisor but if you have approval to work from home, you'll need VPN software installed on your home computer. See link below for the software/installation instructions. Hint: after the software is installed, open it and log in using your Internet ID/Internet password. Then open your Web browser and access PeopleSoft Financials. Please ensure your home computer is secured, has current virus protection, etc. and follow safe computing practices using that computer, just as you would your work computer.

You may find it beneficial to check out this link: http://www1.umn.edu/datasec/security/ARF_word.htm. The Web site introduces the standard ARF document and a host of other 'supplemental requests' that could/should be completed and attached based on your role. Included is a form titled 'PS Distributed Activities' and this may answer some questions relative to folks being (or not being) able to receive POs and such.
Your Cluster Director, supervisor, or RRC Manager can be of assistance in determining which access to request. Or you can contact the University Financial Helpline and ask for help determining which access to request.
Return to top of pageWhat's the timeout for inactivity? (08/01/2008)
The inactivity timeout for PeopleSoft Financials is 60 minutes. This "error" appears just before/after you time out--a pop-up box that states there is a system error or an authorization error, and directing you to contact your system administrator. It appears to simply be an alert that you've timed out/are about to do so.
Return to top of pageMy M Key doesn't seem to be working. (07/07/08)
Some M Keys are defective. The M Key displays alpha characters (all in upper case) and numbers. If you can clearly see that there are numbers and letters displayed, you probably do not have a defective M Key. Defective M Keys can be easily identified. The M Key will have a part of the display that is not working--so you cannot clearly distinguish what the letters or numbers are. Sometimes the M Keys get crushed in the mail so there is a big black blob on the LCD.
If you think you may have a defective M Key, contact CCO Data Security (x-secur@umn.edu). Arrangements can be made for a temporary password and delivery of a new M Key.
If you think you may have simply mis-keyed the letters/numbers on the M Key (or your PIN), press the button on the M Key to get a fresh code and try to login again.
